1. Application

1.1. These terms and conditions (the ‘Terms and Conditions’) apply to the Simply Business Social Impact Volunteering Support Initiative (the ‘Initiative’), operated by our Social Impact team.

1.2. By registering for, signing, or participating in any Initiative activity, you (the ‘Participant’, ‘SME’, ‘you’ or ‘your’) confirm that you have read and understood these Terms and Conditions, agree to be bound by them, and meet the eligibility requirements at Clause 3.

2. Scope of Volunteering Support

2.1. The Initiative pairs small businesses with Simply Business employees (‘SB Volunteers’) to provide ad hoc volunteering assistance across three main formats:

a) Practical Hands On Support: Physical assistance at your commercial premises for up to one day (for example painting, decorating, or inventory packing and sorting);

b) Virtual Skills Based Support: Remote sessions (typically two to three hours) offering general technical knowledge, website copy ideas, software automation tips, or digital marketing guidance; and

c) In Person Office Events: Structured workshops or clinics hosted at Simply Business offices providing general feedback to refine business ideas.

2.2. SB Volunteers act purely in a voluntary capacity. Participation in the Initiative does not create any client, advisory, agency, or contractual consultancy relationship between you and Simply Business or any SB Volunteer.

3. Eligibility and Conditions of Entry

3.1. You are eligible to participate in the Initiative if, at the time of participation, you meet the following requirements:

a) you are a sole trader or the business owner of an actively trading small business, start up, or charity registered in the United Kingdom;

b) for Practical Hands On Support taking place at your premises, you maintain active public liability insurance and a safe working environment; and

c) you accept that support is offered on an ‘as is’ basis, subject to volunteer availability and capacity.

3.2. We reserve the right to exclude or discontinue your participation in the Initiative if your conduct is contrary to the spirit of the Initiative or fails to comply with these Terms and Conditions.

4. Strict Red Lines and Advice Disclaimer

4.1. Any information, ideas, feedback, or technical tips provided during any Initiative activity are for general informational and educational purposes only. They do not constitute formal professional advice, and you must not rely on them as such.

4.2. You retain sole responsibility for your business operations, commercial decisions, website updates, financial filings, and legal compliance. You should seek independent, qualified professional advice before implementing any operational, financial, or legal changes.

5. Site Safety and Practical Tasks

5.1. For Practical Hands On Support, you are solely responsible for ensuring that your premises, equipment, and environment comply with all applicable health and safety laws and regulations.

5.2. You must provide appropriate risk oversight, materials, and safe working conditions for SB Volunteers. We reserve the right to withdraw SB Volunteers immediately if a site is deemed unsafe or unsuitable.

6. Intellectual Property

6.1. You retain all ownership rights in your business’s pre-existing intellectual property.

6.2. You grant us a non exclusive, royalty free licence to use your business name, logo, and any photographs, audio, or video captured during the Initiative activities across our website (www.simplybusiness.co.uk), social media, and internal or external marketing channels related to our Social Impact initiatives.

7. Data Privacy

7.1. We will collect the contact details and business information you submit when registering for the Initiative to manage and deliver the volunteering support activities.

7.2. We shall process all personal data in accordance with these Terms and Conditions and our Privacy Policy (available at www.simplybusiness.co.uk).

8. General

8.1. To the fullest extent permitted by law, Simply Business, our employees, and SB Volunteers accept no responsibility or liability for any direct, indirect, or consequential loss, damage, or operational failure resulting from your participation in the Initiative or reliance on guidance provided.

8.2. Simply Business accepts no liability for personal injury or property damage occurring at your premises during Practical Hands On Support, except where caused directly by our gross negligence or fraud.

8.3. We reserve the right to suspend, modify, or cancel the Initiative or any scheduled session at any time.

8.4. These Terms and Conditions are governed by the laws of England and Wales and any disputes shall be subject to the exclusive jurisdiction of the English Courts.
